Saftey Measures During After-School Events

By Abe Hughes - Director of Safety and Security

Ok2Say
After-school events are structured, supervised programs that offer academic support, enrichment and recreational activities during non-school hours. A strong emphasis on safety is a foundational component of these programs, creating secure environments that reduce risks and provide peace of mind for parents.

Key safety measures put in place include:

• Supervision and Ratios: Maintaining adequate staff-to-child ratios to ensure all students are observable at all times and receive appropriate attention. This includes staff, coaches, administrators, athletic directors, and local law enforcement.
• Access Control: Securing entry and exit points, limiting access to unused areas of the building.
• Emergency Planning: Developing and practicing robust Emergency Operations Plans (EOPs) for various scenarios, including weather emergencies, medical crises and security threats. Plans include communication protocols to keep families informed.
• Staff Training: Ensuring necessary staff are trained in emergency procedures, first aid/CPR, behavior management, and conflict resolution.
• Risk Assessment: Conducting comprehensive risk assessments specific to the unique challenges of after-hours events (e.g., large crowds, outdoor venues) and coordinating plans with local law enforcement.
• Promoting Awareness: Cultivating a "See Something, Say Something" culture by establishing clear and easy channels for students, staff and families to report concerns.

Key Areas for Family Awareness and Action

Know the Event's Safety Protocols:

• Familiarize yourself with the event's specific rules. Look for signage indicating first-aid stations, emergency exits and designated staff or security personnel.

Communication and Technology:

• Emergency Contacts: Ensure older children have your contact information and other emergency numbers programmed into their phones or written down.
• Stay Informed: Sign up for any event-specific text alerts or use communication apps, if offered by the school or organization for real-time updates.
• Charge Phones: Keep your mobile phone charged and the ringer on.

Environmental Awareness:

• Be Aware of Surroundings: When entering a building, notice the number marking of the door entry. Make note of the location of AEDs (Automated External Defibrillators) and other medical supplies.
• Parking and Traffic: Be mindful of traffic flow in parking lots and school zones. Coordinate pick-ups at designated curb-side spots to avoid having children cross the street unsafely.
• Weather Preparedness: The district will always notify families when evening events have been canceled due to weather.

District Policies and Student Handbook

• All district policies and the student handbook will be enforced during any and all school events including after school. Failure to follow will result in review by school, district school board or local law enforcement with suitable measures set in place.

As always, safety is our top priority when it comes to our students, families and our community. We will continue to take the necessary measures to ensure that it is a safe environment for all of those in attendance.

A positive and supportive attitude from parents is crucial for the success and safety of all after-school events and activities. When families engage with enthusiasm and respect for the rules, they model positive behavior for students and create a safer, more welcoming community environment. Thank you for your cooperation and enthusiasm.
